Which phones see the reservation

A vacation rental management company should pick a phone system that can see the reservation when a guest calls. For most portfolios that means a hospitality platform connected to the PMS, such as Conduit, Akia or Streamline's Phone System. Aircall, RingCentral, Dialpad, Quo, JustCall and Ody are general business phone systems with per-seat prices from $15 to $30 a month. Their AI agents answer from your documents, notes or CRM, which suits teams whose callers are mostly owners and leads.

What should a vacation rental phone system do?

A vacation rental phone system has three jobs, and the third is where products differ most. The system has to ring the right person or agent and keep a record of the call, answer when nobody is free (in a rental business, that means 11pm lockouts and Sunday arrivals), and know which stay the caller is on, so the answer covers their unit, their dates and their door code. Most people who call a rental manager have already booked. Ask every vendor three questions in the demo: who answers at 2am, what does that agent see about the caller's reservation, and what can it change?

How did we order this list?

The order of this list comes from one criterion: whether the phone system reads the reservation from your property management system when the call arrives. That splits the nine phone systems into two groups. The first group connects to vacation rental PMSes and is ordered by how much of a guest call software can finish without a person. The second group is business telephony with an AI agent, listed alphabetically. Prices and features come from each vendor's own page, read on October 24, 2026, and linked inline. When a vendor does not publish something, the table says "not published". Conduit is our product and sits where the same rule puts it, with its own watch-outs.

Which phone systems connect to the reservation?

Three of the nine phone systems on this list read reservation data from a vacation rental PMS during the call. The three differ on who does the talking: an AI agent that can change the booking, an AI agent that reads it, or your reservations team with the guest's record on screen.

1. Conduit

Conduit runs phone numbers, call routing and an AI voice agent inside the same platform that handles guest messaging, with write-back across the PMSes it connects to. Conduit's phone docs cover new or ported numbers, and the routing docs cover call groups, a fallback number before voicemail, and calling guests from a mobile under the business number. Each call lands in the inbox with its recording, transcript and AI summary next to the guest's messages. The VoiceAI agent can answer 24/7 or on a schedule and hands off with a warm transfer. Voice AI is part of the Messaging package on Conduit's pricing page, from $18 per unit per month, and a Startup plan covers up to 25 units for $899 a month. Haven Vacation Rentals runs at 90% automation on Conduit. The watch-out is that Conduit is a full guest communication platform, so a manager who only wants a cheaper desk phone is buying more than they need.

2. Akia

Akia's AI Voice matches the caller's number to their reservation in the PMS, texts a PCI-compliant payment link during the call, and transfers to a person with a summary. Its vacation rental page lists Escapia, Guesty and Streamline among the PMSes it connects to, and Akia also gives staff a dialer that logs calls against the reservation. On Akia's pricing page, AI Voice sits in the Max tier, and prices are not published. In a demo, ask to see a date change made on a test booking.

3. Streamline Phone System

Streamline's Phone System is built into the Streamline PMS for reservations teams. Before an agent answers, it shows the caller's recent quotes, previous reservations and notes. During the call, the agent can text door codes, WiFi details or the guest app link. Streamline fits managers who already run on Streamline and keep a staffed reservations desk.

Which business phone systems have AI agents?

Six business phone systems on this list ship an AI agent that answers calls, with published per-seat prices from $15 to $30 a month. They are built for calling across many industries, so the agents answer from your website, documents or notes, and you connect them to a PMS yourself if you want the call on the guest's booking.

4. Aircall

Aircall's pricing page lists Essentials at $30 and Professional at $50 per license a month, with a three-license minimum and 25 on Enterprise. Essentials includes 50 minutes of AI Voice Agents a month, and the agents are also sold on their own from $100 a month. Aircall says its agents can act during a call across connected systems, with examples like Shopify orders, Stripe refunds and CRM logging.

5. Dialpad

Dialpad Connect, the business phone plan, starts at $15 per user a month billed annually and $27 billed monthly, per its pricing page. Dialpad AI Agents are sold separately from a pool of credits and billed per conversation only when the agent retrieves information or takes an action.

6. JustCall

JustCall starts at $29 per user a month billed annually, with a two-license minimum, on its pricing page. Its AI voice agent costs $0.15 a minute with the first 100 minutes free, answers from your documents, books meetings, sends texts and hands off to your team. JustCall publishes 100+ CRM integrations.

7. Ody

Ody's hotels and vacation rentals page lists a starting price of $19 per user a month, with international calling as a $5 add-on. Its AI receptionist answers from the property notes you write, re-texts door codes and rings the on-call person for urgent issues. Ody pushes call summaries to Guesty, Hostaway, Cloudbeds or Mews through Make, webhooks or its API.

8. Quo (formerly OpenPhone)

Quo costs $19, $33 or $47 per user a month billed monthly, or $15, $23 or $35 billed yearly, with one number per user, according to its pricing page. Every plan includes its Sona AI agent with 1,000 credits, which is 10 calls, and extra credit tiers run from $25 to $199 a month. Quo publishes HubSpot and Salesforce integrations on the Business plan.

9. RingCentral

RingCentral's RingEX phone system starts at $20 per user a month on its pricing page, and its AI Receptionist is a $39 add-on that works on any phone system. The AI Receptionist page says it is trained on your website, FAQs and uploaded documents, routes calls with a summary, books appointments and syncs with CRM and scheduling tools.

How do they compare?

The table compares all nine phone systems on the same columns, using only the vendor pages linked above. "Reads the reservation" means the vendor publishes that the system pulls booking data from a vacation rental PMS during the call. "Not published" means the vendor's own site does not say.

What is the best alternative to Aircall for a property management company?

The best Aircall alternative for a property management company depends on whether your callers are guests with bookings or owners and leads. For guest calls, Conduit and Akia read the reservation from the PMS during the call, and Conduit also writes changes back. For a team that wants to stay on per-seat telephony, Dialpad Connect ($15 per user a month on annual billing) and Quo ($19 per user a month) cost less per seat than Aircall's $30 Essentials license, which carries a three-license minimum. Streamline customers can use the phone system already built into their PMS.

Who should answer the phone: software, your team or a managed service?

A vacation rental manager has three ways to staff the line, and the phone system choice follows from it. A team that answers during office hours needs routing rules and somewhere for missed calls to go. Adding an AI agent covers nights and overflow, and the agent can only act on what it can see. The third option is an outside team. Conduit Overwatch is a managed 24/7 operations service where Conduit's AI answers routine guest messages and calls in seconds and a trained operator takes over when a situation needs judgment. Overwatch lists phone calls as included, and it is priced on request to your portfolio.

What does a vacation rental phone system cost?

Published starting prices for the seven vacation rental phone systems on this list that publish one run from $15 per user a month (Dialpad Connect, annual billing) to $30 per license with a three-license minimum (Aircall). AI agents add a second line item on most of them: $39 a month for RingCentral's AI Receptionist, $0.15 a minute for JustCall's agent, $25 to $199 a month for extra Quo credits, and a credit pool with no published price at Dialpad. Conduit prices per unit rather than per seat, from $18 per unit per month with Voice AI included. Akia and Streamline do not publish prices. Model the bill on your own call volume, seats and units.

FAQ

The FAQ below answers the short questions vacation rental managers ask about phone systems: which one to use, Aircall alternatives, AI answering, number porting and 24/7 cover. Each answer stands on its own and draws on the same vendor pages linked above.

What phone system should a vacation rental management company use?

A vacation rental management company should use a phone system that reads the guest's reservation from the PMS, because most guest calls are about an existing stay. Conduit, Akia and Streamline's Phone System do that. Aircall, RingCentral, Dialpad, Quo, JustCall and Ody are general business phone systems, priced per seat from $15 to $30 a month, that fit teams whose callers are mostly owners and leads.

What is the best alternative to Aircall for property managers?

The best Aircall alternative for property managers is a phone system connected to the PMS, such as Conduit or Akia, when most calls come from booked guests. For cheaper per-seat telephony, Dialpad Connect starts at $15 per user a month on annual billing and Quo at $19 per user a month.

Can an AI agent answer vacation rental guest calls?

An AI agent can answer vacation rental guest calls on most of the systems in this list. What the agent knows differs. RingCentral's AI Receptionist answers from your website and documents, and Ody's from property notes you write. Conduit's agent reads the reservation in the PMS and can change it, and Akia's matches the caller to their booking.

Can I keep my existing phone number?

Conduit, Quo and Ody all publish number porting. Conduit's phone team handles the port after you fill in a form, and you choose the cutover date. Quo's pricing page and Ody's vacation rental page both say porting is free.

Is there a managed service that answers vacation rental calls 24/7?

Conduit Overwatch is a managed 24/7 operations service that answers guest calls and messages for vacation rental managers, with AI handling routine questions and trained operators handling anything that needs judgment. Phone calls are included, and pricing is quoted per portfolio.
